GymSync
Privacy Policy
How the GymSync iPhone app handles your information.
Effective date: 2 October 2026Last updated: 2 October 2026
GymSync ("we", "us", "our") is operated by Fortuna Pace Limited, a company registered in England and Wales (company no. 15496207), with registered office at Strawberry Fields Digital Hub, Euxton Lane, Chorley, Lancashire, PR7 1PS. This policy explains what information the GymSync app collects, how we use it, who can see it and the choices you have.
For any privacy question or request, email support@fortunapace.com.
1. What GymSync is
GymSync is an iPhone app for gyms that run coached sessions. Coaches build programs, run live sessions and manage the members of their gym. Members see their workouts, check in to sessions and log their sets.
2. Who this policy applies to
- Members who train at a gym that uses GymSync.
- Coaches who run a gym in GymSync.
- Anyone trying the demo. The built-in demo uses sample data that stays on your device. Nothing you do in the demo is sent to us.
A coach adds each member to their gym by name and email address. If your coach has added you, they did so in order to run your training. You can ask your coach, or us, to remove you at any time.
3. What we collect
We collect only what the app needs in order to work.
| Category | What | Why |
|---|---|---|
| Account | Your email address, a user ID, how you sign in, and your name if you sign in with Apple and choose to share it | To sign you in and keep your data separate from everyone else's |
| Gym membership | The name and email address your coach entered for you, whether you are invited or active, and any note your coach writes for you | So your coach can add you to their gym and you can join it |
| Training data | The exercises, sets, repetitions and weights you log, with dates; session check-ins; when you joined and finished a session; your preferred weight unit | To show your history and progress to you and to your coach |
| Gym data (coaches) | Gym name, equipment, programs, exercises, sessions, station plans and settings | To run the gym in the app |
| Technical data | Information your device sends when it connects to our servers, such as IP address, device type and iOS version | Processed by our hosting provider to deliver the service and keep it secure |
Some settings never leave your device: your training goal, weekly target, rest timer length, appearance, and whether saving to Apple Health is switched on.
We do not collect:
- Your location.
- Photos, camera, microphone, contacts, calendars or messages.
- Advertising identifiers. GymSync has no ads.
- Anything from Apple Health. GymSync never reads your Health data.
- Analytics or tracking data. The app contains no analytics, advertising or tracking software, and we do not track you across other apps or websites.
4. How we use it
- To sign you in and take you to your gym.
- To show your workouts, history, week streak, personal records and progress charts.
- To let your coach run sessions: see who has checked in, plan stations, and see who has finished.
- To show your week and next workout in the Home Screen widget and your current workout in the Live Activity. Both are produced on your device.
- To save finished workouts to Apple Health, only if you switch that on.
- To answer you when you contact support.
Under UK data protection law we rely on performing our contract with you (providing the app), our legitimate interest in keeping the service secure and working, and your consent for Apple Health.
We do not use your data for advertising, sell or rent it to anyone, or use it to train AI models.
5. Apple Health
Saving to Apple Health is optional and off until you turn it on, in Account or on the summary shown after a workout. When it is on, GymSync saves each finished workout to Apple Health as a strength training workout with its start and end time. Nothing else is written, and no estimated figures are added.
GymSync does not read anything from Apple Health. Health data is not sent to our servers, is not used for advertising and is not shared with anyone. You can switch saving off in Account, or remove GymSync's permission in the Health app under Sharing, Apps, GymSync.
6. Sign in with Apple
If you sign in with Apple and choose Hide My Email, Apple gives us a private relay address instead of your real one. To join a gym, your coach needs to add that exact relay address; the app shows it to you so you can pass it on. When you delete an account created with Sign in with Apple, the app also asks Apple to revoke its access.
We do not send marketing email.
7. Who can see your information
| Who | What they can see | Why |
|---|---|---|
| Your coach | Your name, email address, check-ins, workout history and progress in their gym | They coach you |
| Other members in your session | Your name next to your station, on their phones and on the gym's Studio Display | So people can find who they are training with |
| Google (Firebase Authentication and Cloud Firestore) | The data in section 3, stored and processed on our behalf | They host our sign-in and database |
| Apple | What is needed for Sign in with Apple, and the workouts you choose to save to Apple Health on your device | They provide those features |
We do not share data with advertisers, data brokers or analytics companies.
Your gym and training data is stored in Google Cloud's London region. Sign-in is handled by Firebase Authentication, which Google runs only from data centres in the United States, so your account details (such as your email address and user ID) are processed there, under Google's standard contractual clauses and the UK addendum to them.
8. Keeping and deleting your data
We keep your data for as long as your account exists.
You can delete your account in the app at any time: tap the profile button at the top right of the home screen, then Account, then Delete Account.
- If you are a member, this deletes your login, your workout history, your attendance records and your link to the gym straight away. The roster entry your coach created (the name and email address they entered) stays with the gym until your coach removes it. You can ask them, or us, to remove it.
- If you are a coach, this deletes your login and your whole gym: its profile, programs, exercises, equipment, sessions and every member record, including members' workout history in that gym. Members lose access to the gym.
- We keep no backups of our own. Google, which hosts our sign-in and database, then removes the deleted data from its own systems and backups on its standard schedule (for sign-in records, within 180 days).
- The app keeps a copy of your gym's data on your phone so it works without a connection. That copy is removed when you delete your account or delete the app.
- Workouts already saved to Apple Health stay in Apple Health, under your control. You can delete them in the Health app.
If you cannot sign in, email support@fortunapace.com from the address on your account and we will delete it for you.
9. Your rights
If you are in the UK, the EU or another place with similar laws, you have the right to:
- See a copy of your data.
- Correct anything that is wrong.
- Delete your account and data.
- Receive your data in a format you can take elsewhere.
- Object to how we use it, and complain to a regulator. In the UK that is the Information Commissioner's Office (ico.org.uk).
To use any of these rights, email support@fortunapace.com. We reply within 30 days.
10. Children
GymSync is not intended for children under 13. If you believe a child has an account, email support@fortunapace.com and we will remove it.
11. Security
- Data is encrypted in transit and at rest.
- Access rules on our database mean a gym's data can only be read by that gym's coach and its members, and members can only change their own training records.
- The copy of your data on your phone is protected by iOS file protection and is not included in device backups.
- If a breach affects your personal data, we will tell you without undue delay.
12. Changes to this policy
We update this policy when the app changes. The "Last updated" date at the top always shows the current version.
